Who we are

Erf is a property services business operating across Gauteng from a base in Randburg. We provide waste and junk removal, recycling collections, garden and grounds maintenance, pool care, mobile car washing and exterior cleaning.

What we collect

We only collect what we need in order to quote and do the work:

• Your name, so we know who we are speaking to
• Your phone number, so we can send the quote and tell you when the crew is close
• Your suburb or address, so we can work out access, travel and the right vehicle
• What needs doing, including any photographs you choose to send us
• Your email address, only if you give it to us for an account or an invoice

We do not collect identity numbers, banking details or any special personal information through this website. If an account application later requires more, we will ask for it separately and tell you why.

How the enquiry form works

This website is a static site. The quote form does not store anything on the website or send anything to a database. It opens WhatsApp on your own device with the details already written out, and nothing is transmitted until you press send in WhatsApp yourself.

That means your message travels through WhatsApp and is governed by WhatsApp's own privacy terms as well as ours. Once it reaches us we hold it as described below.

Why we are allowed to hold it

We rely on the following grounds under POPIA:

• To carry out a contract with you. Quoting and completing a job you asked for
• Our legitimate interests. Scheduling crews, keeping job records and following up on a quote you requested
• Your consent. Where you ask us to keep you on a list, such as telling you when a service launches
• Legal obligation. Keeping invoices and disposal records for the periods the law requires

Who we share it with

We do not sell your information and we do not share it for advertising.

We share the minimum necessary with:

• The crew allocated to your job, so they can find you and phone ahead
• Your body corporate, managing agent or building security, where gate registration requires crew and vehicle details
• Licensed disposal sites and registered waste handlers, where a disposal certificate has to name the job
• Our accountants and, if it ever became necessary, our attorneys or insurers

How long we keep it

Enquiries that do not turn into work are deleted within twelve months.

Completed job records, invoices and disposal certificates are kept for five years, which is the period South African tax and waste record keeping generally requires.

Photographs of a job are kept for twelve months so we can resolve any dispute about the condition a site was left in, unless you ask us to delete them sooner.

Your rights under POPIA

You can ask us at any time to:

• Tell you what personal information we hold about you
• Correct anything that is wrong or out of date
• Delete information we no longer have a lawful reason to keep
• Stop contacting you, including stopping any follow up on an old quote
• Object to us processing your information on the basis of legitimate interest

Contact us on hello@erfservices.co.za and we will respond within a reasonable period. There is no charge for a reasonable request.

If you are not satisfied with how we handled it, you may complain to the Information Regulator of South Africa, which oversees POPIA.

Security

We keep enquiry records on access controlled devices and accounts, and we limit who in the business can see them to the people who need them for the job.

No method of transmission or storage is completely secure. If a breach ever affected your information we would notify you and the Information Regulator as POPIA requires.

Children

This site and our services are aimed at adults arranging work on a property. We do not knowingly collect information about children.

Changes

If we change this policy we will update the date at the top of this page. Material changes will be flagged on the home page.
